This is a working invoice you can fill in and send today: line items, discount, tax, deposit, balance due, and a status cell that tells you whether the invoice is due or overdue and by how many days.
What is in the file
- Your details, the client's legal name and a PO or contact field
- An issue date, payment terms in days, and a due date that calculates itself
- Ten line items with quantity, rate and amount
- Subtotal, discount %, tax %, total, deposit or payments received, and balance due
- A status cell: Due in X days, OVERDUE by X days, or PAID
- A space for payment instructions and terms
The yellow cells are the ones to edit. Everything else calculates. Two example lines are included so you can see it work; delete them.
How to use it
- Download the file and open it in Excel, or upload it to Google Drive and open it with Google Sheets.
- Replace the example details and lines with yours.
- Save a copy per invoice, numbered in sequence (INV-0001, INV-0002).
- Export to PDF and send it with a payment link or bank details.
What every invoice needs
An invoice number, issue and due dates, your name and the client's legal name, an itemised description of the work, the total with currency, how to pay, and payment terms in plain words. The invoice checklist explains each one.
About late fees
Add late-fee wording only if your agreement allows it and the law where you work permits it. How to calculate a late fee shows three methods with worked numbers, and the late fee calculator runs yours.
A general template, not legal or tax advice. Check what applies to you before relying on it.
