A quote wins work when it is clear about what you will do, what it costs and what is not included. This spreadsheet builds one from your hours and rate, then shows the deposit, the balance and your effective hourly rate so you can check the price before you send it.
What is in the file
- Client, project, quote number, date and validity period; the valid-until date calculates
- Your hourly rate, set once, used for every line
- Ten deliverable lines with hours; amounts calculate
- Subtotal, optional rush fee %, discount %, tax %, total
- Deposit to start (as a % you choose) and balance on delivery
- Total hours and your effective rate on the quote
- Boxes for assumptions, what is not included, timeline and acceptance
Yellow cells are yours to edit; delete the three example lines.
How to use it
- Open the file in Excel, or upload it to Google Drive and open it with Google Sheets.
- Set your hourly rate. If you are unsure of it, use the hourly rate calculator.
- List deliverables and your hours for each. Add a margin for revisions you expect.
- Check the effective rate. If it falls below your minimum, raise the price or narrow the scope.
- Export to PDF and send it with a short note. Ask for the deposit when the client accepts.
Quote wording that helps
State what is included ("two revision rounds"), what is not ("photography, hosting"), and what you need from the client and by when. Say how long the quote is valid. A deposit of a third to a half is common on larger projects; check what works for your field.
