Bank CSV import errors in QuickBooks Online: causes and fixes

A checklist built from QuickBooks' own formatting article and real community threads. Or drop your file in the box and let StatementSnap fix the layout in your browser.

Your file never leaves your computer. Everything runs in this page. No upload, no account, no server.

Check these in order

"File upload failed" or "error importing" with no detail

Cause: QuickBooks usually does not say which row it dislikes. The QuickBooks Team replies on community threads point to inconsistent date formats, special characters, misaligned columns and a file that is not plain CSV.

Fix: Check the file in a text editor, not Excel. Keep one date format, remove special characters, save as CSV, and try a private browser window.

Extra columns or the wrong column layout

Cause: QuickBooks documents two layouts for bank-transaction CSVs: three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit), with headers in the first row. Banks often export more columns than that.

Fix: Delete every other column (balance, category, memo, card holder). Use Date, Description, Amount, or Date, Description, Credit, Debit.

Mixed or odd date formats

Cause: QuickBooks asks for a single date format in the file, and for day-of-week text to be removed.

Fix: Make every date the same format, and strip words such as "Mon" or "Monday" from the date cells.

A blank or missing date in one row

Cause: In an older community thread a member traced a failed import to a row with no date. Summary or total lines at the top or bottom of a bank export are a typical place for that.

Fix: Delete summary lines above the header row and total lines at the bottom, and make sure every remaining row has a date.

Zeros in the Credit and Debit columns

Cause: In the four-column layout, QuickBooks asks you to leave the empty side blank instead of writing 0.

Fix: Clear the zeros so each row has a value in only one of Credit or Debit.

A big file, such as a year of card transactions

Cause: A QuickBooks Team reply on a community thread mentions a limit of 1,000 rows per upload. QuickBooks' help article does not state a limit, so treat this as a reported figure.

Fix: Split the file into pieces of 1,000 rows or fewer, for example one per quarter, and import them one at a time.

A bank or card that QuickBooks cannot connect to

Cause: People who cannot link a provider to QuickBooks upload a CSV instead, and the upload then fails on layout (see the first two items). In one thread the poster reported such an error when uploading a Brex export; no fix was posted.

Fix: Reshape the export to one of the two layouts above before uploading.

If it still fails

  1. Cut the file down to the header row plus five rows and import that. If it works, the problem is in the other rows; add them back in halves to find it.
  2. Open the file in a plain text editor and look for stray quotes, semicolons instead of commas, and total lines.
  3. Post the header row and two rows with the numbers changed, plus the exact error text, on the QuickBooks Community. Never post real account data.

FAQ

Is my bank data uploaded?

No. The converter is JavaScript running in your browser tab. You can disconnect from the internet after the page loads and it still works.

Which banks work?

Any bank that exports CSV. Dates, delimiters (comma, semicolon, tab), European number formats, separate debit/credit columns, headerless files and extra summary rows are handled, and you can override the column mapping.

What about ambiguous dates like 03/04/2024?

If every date could be day-first or month-first, the tool warns you and lets you pick the order before downloading.

Is this affiliated with any bank, Intuit, Xero or YNAB?

No. Names are used only to describe which file layout or import format is meant.
